Job Description
-To provide immediate, on hand clerical and administrative support to the GM and all Managers. As the first point of contact the secretary must have a confident and confidential style, be approachable and be a strong ambassador for the organisation
- Provide administrative and clerical support as necessary, including composing and editing correspondence as directed
- Promptly receive and forward telephone calls and take messages correctly and route them to the concerned Manager
- Extensive Diary management - Make appointments, dealing with incoming e-mail, facsimiles and post
- Create and update excels spreadsheets. Design presentations on PowerPoint
- Book venues and hotels and make travel arrangements domestically and internationally as required
- Set up and management of the filing systems, archive documents and perform routine filing
- Take minutes for the meeting and circulate the minutes in a timely manner
- Carry out background research into subjects the Managers are dealing with and present findings in an easily digestible form
- Ensure GM and all Managers have all the required information to enable them to discharge their duties efficiently
- Liaising with clients and welcome clients in a friendly and efficient manner
- Communicate and liaise verbally and in writing with customers/ suppliers/ visitors/ enquirers and relevant staff, and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions
- Provide satisfaction to all team members by consistently meeting and exceeding their expectations - Ensure successful interaction with internal and external customers
- Establish and maintain effective working relationships with team at all levels
- Assist and participate enthusiastically in all official activities
- Perform specific tasks as requested by GM and all Managers
